1. Scope and who we are

This Privacy & Cookie Policy applies to the Veterans First Solutions website at www.veteransfirstsolutions.com, including the online eligibility review and website chat. “VFS,” “we,” “us,” and “our” refer to Veterans First Solutions.

VFS is an independent medical consulting company. We are not affiliated with the U.S. Department of Veterans Affairs, and this policy does not apply to VA.gov or any other third-party website linked from our site.

2. Information we collect

Depending on how you use the website, we may collect:

  • Contact and identification information: your first and last name, email address, phone number, and state.
  • Eligibility-review information: your discharge status, whether you have previously filed a VA disability claim, and whether you are interested in new claims, increases, or both.
  • Communications: information you provide during a website chat or when communicating with VFS about your request.
  • Website and device information: IP address, approximate location, browser and device type, operating system, pages viewed, visit times, referring page, campaign parameters, clicks, and similar interaction information.
  • Security information: technical signals used to detect automated traffic, abuse, and fraudulent form submissions.
Please do not use the public form or chat to send sensitive documents.

Do not submit Social Security numbers, financial account details, medical records, or copies of government identification unless VFS specifically requests them and provides an approved secure method.

We collect information directly from you, automatically from your browser or device, and from service providers that support the website. Providing the eligibility form information is voluntary, but we may be unable to review or respond to your request without it.

3. How we use information

We may use personal information to:

  • review and respond to your eligibility inquiry;
  • contact you by phone or email as you request when submitting the form;
  • create and manage lead and contact records and related internal workflows;
  • provide website chat and customer support;
  • understand traffic sources and improve website content and usability;
  • measure successful eligibility-review submissions;
  • protect the website, visitors, and VFS against bots, abuse, and security threats;
  • maintain business records and comply with applicable legal obligations; and
  • establish, exercise, or defend legal claims.

Where European Economic Area or United Kingdom data-protection law applies, our legal bases may include your consent, taking steps at your request, our legitimate interests in operating and securing the website and responding to inquiries, and compliance with legal obligations. You may withdraw consent at any time, without affecting processing that occurred before withdrawal.

4. Website service providers

We use the following providers to operate and protect this website:

Zoho CRM

Stores eligibility submissions as lead and contact records and supports VFS’s internal follow-up workflows.

Zoho SalesIQ

Provides visitor tracking and website chat. After VFS accepts an eligibility submission, the site provides your name, email address, and phone number to SalesIQ so VFS can connect the visit with your inquiry. SalesIQ’s configured consent controls govern whether it stores visitor information.

Zoho PageSense

Measures website usage and conversion events. PageSense may measure pages viewed, clicks, traffic sources, device information, and other interactions when its features are enabled. VFS configures the eligibility form to be masked from PageSense session-recording features.

Cloudflare Pages and Cloudflare Turnstile

Host, deliver, and protect the website. Cloudflare Turnstile processes technical signals to distinguish people from automated traffic and help prevent abuse.

Learn more from the providers’ notices: Zoho Privacy Policy and Cloudflare Privacy Policy.

5. Cookies and similar technologies

Cookies are small files stored by your browser. This website and its providers may also use local storage, tags, or similar technologies. We use them in these broad categories:

Essential and security technologies

Cloudflare and Turnstile use technical information necessary to deliver and protect the site, validate form submissions, and prevent automated abuse. The eligibility form may not work if these protections are blocked.

Analytics technologies

Zoho PageSense uses cookies to recognize new and returning visitors, measure page activity, understand traffic sources, and count goal conversions. These technologies are controlled through the PageSense consent notice.

Chat and visitor-tracking technologies

Zoho SalesIQ uses cookies to recognize a visitor across visits and provide chat. These technologies are controlled through the SalesIQ consent notice.

Your cookie choices

Use the choices shown in the website’s PageSense and SalesIQ consent notices to accept, decline, or manage non-essential tracking. You can also restrict or delete cookies in your browser settings. Blocking or deleting cookies can make some features unavailable and may cause the consent notices to appear again.

We do not currently use advertising cookies on this website. Because we do not sell or share personal information for cross-context behavioral advertising, a Global Privacy Control signal does not change those practices. We do not promise that every provider responds to legacy browser “Do Not Track” signals; use the consent choices described above.

6. How we disclose information

We may disclose personal information:

  • to the providers described above so they can perform services for VFS;
  • to professional advisers who are subject to confidentiality obligations;
  • when required by law, legal process, or a valid government request;
  • to protect rights, safety, property, and the security of the website;
  • in connection with a merger, financing, acquisition, or transfer of assets; or
  • with your direction or consent.

We do not sell personal information. We do not share personal information for cross-context behavioral advertising, and we do not use eligibility information for targeted advertising.

7. Retention, security, and international processing

We retain personal information only for as long as reasonably necessary for the purposes described in this policy, including responding to inquiries, maintaining business and legal records, resolving disputes, enforcing agreements, and meeting legal obligations. Retention periods vary according to the type of information and the reason it is held.

VFS and its providers use administrative, technical, and physical safeguards designed to protect personal information. These include encrypted HTTPS transmission, bot-detection controls, restricted service credentials, validation of form data, and access controls within our service providers. No method of storage or transmission is completely secure, so we cannot guarantee absolute security.

VFS and its providers may process information in the United States and other countries. Their privacy notices provide additional information about their data locations and practices.

8. Your privacy rights

Depending on where you live and subject to applicable exceptions, you may have the right to request access to, correction of, deletion of, or a copy of your personal information; to restrict or object to certain processing; to withdraw consent; or to appeal a denied privacy request. We will not discriminate against you for exercising an applicable privacy right.

California residents may also have rights to know the categories, sources, purposes, and recipients of personal information; correct inaccurate information; delete information; and limit certain uses of sensitive personal information. As explained above, VFS does not sell personal information or share it for cross-context behavioral advertising.

To make a request, email privacy@veteransfirstsolutions.com. Describe the right you wish to exercise and the information associated with your request. We may need to verify your identity before fulfilling a request. An authorized agent may submit a request where permitted by law, but we may request proof of the agent’s authority.

9. Children’s privacy

This website is intended for adults and is not directed to children under 13. We do not knowingly collect personal information from children under 13 through the website. If you believe a child has provided personal information, contact us so we can review and address it.

10. Changes to this policy

We may update this policy as our services, providers, or legal obligations change. We will post the revised policy on this page and update the “Last updated” date. If required, we will provide additional notice or request consent for material changes.
